Responsibilities
• Follow up on all tasks related to the direct manager's office, including contacting relevant parties, monitoring workflow, and preparing reports.
• Review all outgoing and incoming correspondence and mail correctly before submitting it to the direct manager.
• Supervise all correspondence and mail sorted to the relevant entity, take instructions regarding responses, handle and deliver them to official entities according to the direct manager's directives.
• Handle non-routine correspondence, including draft responses and replies to inquiries.
• Assist the direct manager in decision-making by highlighting critical points through continuous monitoring and coordination.
• Attend most meetings with the direct manager to take notes and prepare summaries for follow-up.
• Prepare minutes of meetings related to the weekly meeting with management members. Prepare a schedule for follow-ups and follow-up with department heads and managers regarding achievements and updates.
• Make necessary arrangements for meetings or workshops in which the direct manager participates, coordinate with organizing parties, remind the direct manager, and provide the required information.
• Follow up on hotel and restaurant reservations in the case of the direct manager's travel, meetings, and conferences.
• Process sensitive correspondence and information, maintain the confidentiality of information in correspondence, and ensure all means are provided to achieve this.
• Contact external parties at the request of the direct manager to coordinate and follow up on all matters.
• Prepare periodic reports as requested by the direct manager.
• Perform any other tasks and responsibilities as assigned by the direct manager.
Qualifications
• Bachelor's degree in Business Administration or a related field, with relevant experience if available.
• At least 2-3 years of experience in a similar functional area.

• Knowledge of how to write reports and meeting minutes.
