Duties and responsibilities:
- Oversee daily operations of the base fleet, ensuring vehicles are available and in good condition. Maintain vehicle log books, monitor maintenance schedules, and ensure all vehicles are equipped with necessary tools and safety equipment. Conduct regular spot checks and produce monthly fleet reports.
- Manage the application and renewal processes for visas and residency cards, ensuring compliance with legal requirements and timely processing.
- Organize and book travel logistics, including flights, accommodations, and ground transportation, ensuring compliance with company policies and cost-effectiveness.
- Facilitate the rental of apartments for new staff, overseeing lease agreements and ensuring properties are fully furnished and equipped.
- Coordinate car rentals for new staff, ensuring vehicles are inspected and meet company standards before handover.
- Assist in the exit clearance process for departing staff, including the return of company assets and evaluation of their condition.
- Monitor and maintain inventory levels of office supplies, ensuring timely procurement and availability.
- Oversee the allocation and tracking of office assets, including stationery, IT equipment, and furniture, ensuring accurate records are maintained.
- Supervise office cleaning services and coordinate maintenance activities to ensure a clean and functional work environment.
- Maintain accurate and up-to-date records of residency card statuses and coordinate renewals as necessary.
- Organize and oversee repair and maintenance work for office and residential properties, ensuring timely completion and quality standards.
- Draft and manage official letters, memos, and email correspondence in coordination with management, ensuring clarity, professionalism, and adherence to company standards.
- Education, Job Requirements & Skills:
- Bachelor’s degree in business administration or a related field.
- Fluency in English, Arabic, and Kurdish.
- Proven experience in administrative roles,
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
- Ability to manage multiple tasks simultaneously and work independently.
- Excellent communication and interpersonal skills.
