We are seeking a highly organized and detail oriented Payroll Officer & HR Support to join our office in Basra. Reporting to the regional HR office in the UAE, this role is primarily responsible for managing payroll processes, ensuring accurate salary payments, and maintaining compliance with local tax and social security regulations. In addition to payroll, the role provides HR administrative support, including employee records management, contract renewals, and induction processes. The ideal candidate will have at least five years of experience in payroll and HR administration, strong attention to detail, and the ability to handle confidential information with discretion.
Key Responsibilities Include, But Not Limited To
- Ensure the accuracy of payroll data by collecting and uploading timesheets weekly, checking for approvals of annual leave, sick leave, and unpaid leave.
- Assist in processing monthly payroll, ensuring compliance with social security and income tax regulations.
- Handle social security and tax-related processes, including filing monthly returns and liaising with relevant authorities.
- Support visa and work permit processing for expatriate staff, ensuring timely renewals.
- Create and maintain employee files, internal regulations, and notifications as per labour law requirements.
- Track contract expiries and coordinate renewals.
- Conduct face-to-face HR inductions for new hires and track induction and probation processes, ensuring the completion of all required documentation and mandatory training.
- Coordinate the ordering and return of IT equipment for new hires and leavers.
- Support local recruitment activities as required.
- Coordinate internal and external training and development programs for employees.
- Organise and promote employee engagement activities.
- Monitor updates to local labour, social security, and tax laws and highlight potential implications on employment matters.
- Escalate matters requiring expert advice to the Regional HR Team.
- Assist with any other administrative duties related to HR operations as assigned.
Person Specification
- Degree in HR/ business administration or related discipline.
- Minimum 5 years’ experience in a HR support role with proven experience in payroll processing.
- Good understanding of HR/Payroll processes and knowledge of latest social security, income tax, and labour laws in Iraq
- Familiarity with Human Resources Information Systems.
- Proficient in MS Office packages (Word, Excel and PowerPoint).
- Confident communicator with excellent interpersonal skills, diplomatic, able to deal effectively and establish rapport with people at all levels.
- Good English communication skills, verbal and written.
- Professional approach and ability to handle sensitive information confidentially.
- High level of accuracy and attention to detail.
- Able to work independently and as part of a wider team.
- Friendly and approachable, with a willingness to learn.
