Position Summary:
The Senior Administrative Assistant for Corporate Engagement at the American University of Iraq,
Baghdad (AUIB), will play a crucial role in supporting the Office of Corporate Engagement by providing
high-level administrative assistance. This role requires exceptional organizational skills, attention to
detail, and the ability to manage multiple priorities in a fast-paced environment. The Senior
Administrative Assistant will act as a key point of contact for internal and external stakeholders,
coordinate various projects, and ensure that all communications and administrative tasks are handled
efficiently and professionally.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the Director of
Corporate Engagement, including managing calendars, scheduling meetings, preparing meeting
agendas, taking minutes, and handling correspondence.
- Project Coordination: Assist in the planning, execution, and monitoring of various corporate
engagement projects and initiatives, ensuring all tasks are completed on time and within scope.
- Communication: Serve as a liaison between the Office of Corporate Engagement and other
university departments, external partners, and corporate stakeholders. Ensure clear and timely
communication of information.
- Document Management: Prepare, review, and edit documents, reports, presentations, and
other materials as required. Maintain accurate and organized records of all correspondence,
agreements, and project documentation.
- Event Coordination: Assist in organizing and coordinating events related to corporate
engagement, such as conferences, workshops, and corporate meetings. Manage logistics,
invitations, and follow-up activities.
- Data Management: Maintain and update databases related to corporate partnerships,
stakeholder contacts, and project outcomes. Generate reports and analysis as needed
- Budget and Finance: Assist in monitoring budgets, processing invoices, and managing financial
records related to corporate engagement activities
- Office Management: Oversee the day-to-day operations of the Office of Corporate Engagement,
including managing supplies, coordinating with vendors, and ensuring the office environment is
well-organized and professional.
- Other Duties: Perform other duties as assigned by the Director of Corporate Engagement to
support the overall mission and objectives of the department.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Communications, or a related field is
preferred.
- Experience: At least 5 years of experience in an administrative or executive assistant role, with a
preference for experience in corporate engagement, project management, or higher education
environments.
- Skills:
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive and confidential information with discretion.
- Strong interpersonal skills and the ability to work effectively with a diverse range of
stakeholders.
- Ability to work independently and as part of a team, with a proactive and problemsolving mindset.
Preferred Qualifications:
- Experience working in a higher education or corporate engagement setting.
- Familiarity with project management tools and techniques.
- Fluency in both English and Arabic.
