Responsibilities:
Support to Administration Manager:
- Assist the Administration Manager in planning, organizing, and executing administrative tasks.
- Provide regular updates on operations, budgets, team performance, and policy compliance.
- Ensure the implementation of directives and guidelines from the Administration Manager.
Policy Implementation and Compliance:
- Follow up on the implementation of company policies and procedures across all administrative operations.
- Identify and report any policy violations immediately.
Premises Management and Maintenance:
- Oversee the day-to-day management and maintenance of company facilities in Baghdad.
- Coordinate repairs and ensure facilities are clean, functional, and compliant with company standards.
- Supervise the cleaning team to maintain a tidy and organized environment.
Utilities Payment and Government Follow-Up:
- Manage timely payment of utilities for company premises to government entities.
- Follow up on administrative files with government offices when required.
Transportation and Vehicle Management:
- Supervise transportation logistics for employees and goods.
- Oversee company vehicles, including registration, renewal, maintenance, fuel consumption monitoring, and agreements with fuel service providers.
- Supervise drivers, allocate tasks, and monitor performance.
Health and Safety:
- Ensure compliance with health and safety standards in coordination with the Health and Safety section.
- Support the implementation of health and safety measures and follow-ups.
Budget and Vendor Management:
- Assist in preparing and monitoring budgets for maintenance, transportation, and administrative operations.
- Manage relationships with vendors and contractors, support negotiations, and ensure service quality.
Crisis and Emergency Response:
- Collaborate to establish emergency response procedures and support evacuation drills.
Inventory Management:
- Oversee office supplies and ensure proper usage and availability.
- Maintain records and assist in budget planning for inventory replenishment.
Documentation and Reporting:
- Prepare detailed records on vehicle usage, maintenance schedules, fuel consumption, and facility operations.
- Generate reports for review by the Administration Manager.
Team Supervision:
- Supervise drivers, cleaning staff, and other administrative team members.
Allocate tasks, provide feedback, and conduct necessary training.
