Job Title: Acting Reception Supervisor
Location: Baghdad – SAS Al-Muthana
About the Job:
The Acting Reception Supervisor ensures exceptional customer service, efficient coordination of tasks, and effective supervision of the reception team. The primary objective of this role is to maintain a welcoming and professional environment, facilitate smooth communication between customers and dealership staff, and contribute to the overall success and satisfaction of our customers.
Main duties & responsibilities:
- Oversee the daily operations of the reception desk, including managing receptionists’ schedules, assigning tasks, and providing guidance and support as needed.
- Led by example in providing exceptional customer service to all clients, ensuring their needs are met promptly and courteously.
- Train new receptionists on company policies, procedures, and customer service standards. Provide ongoing coaching and feedback to ensure continuous improvement.
- Serve as the primary point of contact between receptionists and management, conveying relevant information, addressing concerns, and facilitating effective communication channels.
- Assist with administrative tasks such as answering phones, scheduling appointments, handling inquiries, and maintaining customer records when necessary.
- Handle escalated customer issues and complaints with professionalism and efficiency, striving to achieve satisfactory resolutions while upholding the dealership’s reputation.
- Conduct regular audits of reception processes to ensure compliance with company standards and identify areas for improvement.
- Foster a positive and collaborative work environment among receptionists, promoting teamwork, mutual respect, and a strong commitment to achieving common goals.
- Assist in maintaining inventory records for supplies and promotional materials used at the reception desk, ensuring adequate stock levels at all times.
Required Qualification:
- Bachelor’s Degree in Mechanical Engineering, Automotive Engineering, or a related field.
- Minimum of 7 years of experience in a related field, with at least 2 years in a supervisory or managerial role.
- Proven experience in reception, front desk, or customer service operations, preferably within an automotive or dealership environment.
- Strong leadership and team management skills with the ability to coach, motivate, and develop staff.
- Excellent communication and interpersonal skills to ensure effective coordination between customers and internal teams.
- High level of organization and attention to detail, with the ability to handle multiple tasks and priorities efficiently.
- Proficiency in office software (e.g., MS Office Suite) and familiarity with dealership or CRM systems is a plus.
- Professional appearance, positive attitude, and a strong commitment to delivering exceptional customer service.
- Ability to work under pressure and resolve issues promptly and effectively.
