We are looking for an Administrative Assistant to join our team at Najmat Alsalam Company.
Administrative Assistant – Key Responsibilities
- Data Entry & Record Keeping
- Enter and update data in spreadsheets, databases, and internal systems.
- Maintain accurate and organized records (digital and physical).
- Shipping & Logistics Support
- Review shipping documents (invoices, packing slips, etc.).
- Coordinate with couriers and shipping companies for pickups and deliveries.
- Track shipments and follow up on delays or issues.
- Banking & Financial Paperwork
- Prepare and organize bank deposit slips and transaction records.
- Assist with preparing payment documents and reconciling receipts.
- Coordinate with the finance team or external accountants.
- Office Administration
- Handle filing, scanning, and photocopying documents.
- Manage incoming and outgoing mail.
- Maintain office supplies inventory and reorder when necessary.
- Communication & Coordination
- Answer phones and direct calls appropriately.
- Schedule meetings, prepare agendas, and take meeting notes.
- Liaise with vendors, clients, and internal departments.
- Confidential Document Handling
- Safeguard sensitive company and employee information.
- Follow data protection and confidentiality procedures.
Requirements:
- Education: Diploma or Bachelor’s degree in Business Administration or related field.
- Experience: Minimum 1 year of relevant administrative or logistics experience.
- Languages:
- Arabic and Kurdish – Required
- English – Preferred
- Strong attention to detail and organizational skills.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Ability to prioritize tasks and meet deadlines.
- Professional attitude and excellent communication skills.
