Key Responsibilities
Executive Support & Calendar Management
- Manage and prioritise the Deputy CEO’s calendars, appointments, and daily schedules.
- Coordinate internal and external meetings to optimise time and efficiency.
- Provide proactive reminders and briefings for upcoming commitments.
Communication & Correspondence
- Handle all forms of communication (emails, calls, letters) with professionalism, clarity, and confidentiality.
- Draft and respond to communications on behalf of executives with a polished tone and business accuracy.
Meeting & Event Coordination
- Organize logistics for meetings, conferences, and events: booking venues, preparing agendas, compiling materials, and taking minutes.
- Follow up on action items and ensure timely execution of decisions.
Travel & Logistics Management
- Arrange domestic and international travel, including flights, accommodations, transport, and visa processing.
- Prepare detailed itineraries and ensure all travel aligns with executive preferences.
Documentation & Records Management
- Draft, format, proofread, and manage presentations, reports, memos, and spreadsheets.
- Maintain a secure and organised filing system (both digital and physical) for easy retrieval of sensitive documents.
Office & Resource Coordination
- Oversee general office conditions and maintain a sufficient inventory of office supplies.
- Ensure a professional and welcoming environment for all visitors, representing the company’s brand positively.
Special Projects & Cross-Functional Support
- Assist in research, planning, and implementation of strategic initiatives and special projects.
- Serve as a liaison between executives and various departments to streamline communication and approvals.
Quality & Compliance Oversight
- Review documents for accuracy, clarity, and alignment with company standards and branding.
- Ensure timely implementation of management directives and policy compliance.
Other Responsibilities
- Execute ad-hoc tasks and responsibilities as assigned by the Deputy CEO.
- Handle highly confidential information with utmost integrity and discretion.
Organizational Relationships
Internal:
- Coordinates with all departments across the organisation.
External:
- Engages with clients, governmental entities, and external partners.
Job Requirements
Education:
- Bachelor’s degree in Business Administration or a related field.
Experience:
- Minimum of 3 years in a similar administrative or executive support role.
- An advanced level in Kurdish, Arabic and English is a must.
