Job Description
We are seeking a highly organized and efficient Executive Secretary to join our team in Baghdad, Iraq. As the right hand to our executive leadership, you will play a crucial role in ensuring smooth operations and effective communication within our hotel.
- Manage the executive's calendar, schedule appointments, and coordinate meetings
- Handle confidential and sensitive information with the utmost discretion
- Prepare and edit correspondence, presentations, and reports
- Act as a liaison between executives
- Organize and maintain digital and physical filing systems
- Coordinate travel arrangements and prepare detailed itineraries
- Take and distribute accurate meeting minutes
- Manage incoming calls, emails, and other communications efficiently
- Assist in planning and organizing company events and functions
- Provide administrative support to other departments as needed
- Implement and maintain office procedures and systems
- Monitor and order office supplies
- Greet and assist visitors to the executive office professionally
- Adapt to the local business culture while maintaining international standards of professionalism
Qualifications
- Proven experience as an Executive Secretary or in a similar role
- Exceptional organizational and time management skills
- Demonstrated ability to handle confidential information with discretion
- Strong interpersonal skills and ability to interact professionally with senior executives
- Problem-solving skills and ability to work independently
- Flexibility to adapt to changing priorities and meet tight deadlines
- Knowledge of office management procedures and corporate communication protocols
