Position Summary:
The College of Law at the American University of Iraq–Baghdad (AUIB) is seeking a qualified Administrative Assistant to support the Dean’s Office in its academic and administrative operations. The role requires strong organizational, communication, and multitasking skills, with the ability to operate effectively under pressure. The successful candidate will play a key role in liaising with faculty, students, and external partners, while providing essential support in document preparation, scheduling, and strategic initiatives.
Key Responsibilities:
- Oversee day-to-day administrative operations including scheduling, correspondence, filing, document preparation, and report generation.
- Coordinate and review draft Memoranda of Understanding (MOUs) and partnership agreements with government, international organizations, and private sector entities.
- Manage student schedules and timetables, ensuring accuracy and alignment with academic requirements.
- Support the Dean and faculty by preparing and maintaining documents for meetings, agreements, and policy discussions.
- Attend meetings with the Dean, prepare detailed minutes, and ensure timely follow-up on action items.
- Provide research, drafting, and follow-up support on confidential and strategic initiatives, handling all matters with discretion.
- Act as a liaison between the Dean’s Office and internal/external stakeholders.
- Prepare reports, presentations, and briefing materials to support academic and administrative initiatives.
- Support in organizing academic events, workshops, and conferences.
Qualifications & Competencies
- Bachelor’s degree in law, Business Administration, Public Administration, or a related field (legal/academic administrative background preferred).
- Proven administrative or executive assistant experience, preferably in higher education or legal contexts.
- Excellent organizational and time-management skills, with the ability to multitask and meet strict deadlines.
- Strong communication skills in both English and Arabic (written and verbal), with high attention to detail.
- Demonstrated ability to draft, review, and edit official documents, agreements, and reports.
- Experience in collaborating with government authorities, international organizations, and private sector partners.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and digital collaboration platforms (Teams, SharePoint, Google Workspace).
- Ability to handle sensitive and confidential matters with discretion.
- Strong interpersonal skills and a professional demeanor.
- Flexibility and willingness to support the Dean and the College in achieving strategic objectives.
