Position Summary
AUIB is seeking a dynamic and experienced Executive Assistant to drive its mission of advancing excellence in higher education through innovation, global engagement, and student-centered leadership. In this pivotal role, the Executive Assistant will provide high-level administrative support to senior leadership, manage complex scheduling and communications, coordinate cross-functional initiatives, and ensure the smooth operation of daily executive functions. Key Responsibilities
- Manage complex scheduling, calendars, and travel logistics for senior leadership
- Design and maintain dynamic Excel spreadsheets, dashboards, and
automated reports
- Develop and implement macros and small-scale scripts to automate routine tasks
- Draft, edit, and format documents, emails, reports, and presentations
- Serve as the liaison between the executive office and internal/external stakeholders
- Coordinate high-level meetings, take minutes, and manage follow-up actions
- Handle confidential information and maintain organized digital �filing
systems
- Provide technical support for office systems, Teams meetings, and data
tools

- Excellent Communication Skills – Able to write and speak clearly
and professionally.
- Strong Organizational Skills – Can manage schedules, �iles, and multiple tasks efficiently.
- Discretion and Confidentiality – Trusted to handle sensitive information with care.
- Proactive and Solution-Oriented – Takes initiative and solves problems independently.
- Expert in Microsoft Excel, including pivot tables, formulas, charts, and VBA macros
- Highly proficient in Microsoft Office Suite and digital collaboration
platforms
- Excellent written and verbal communication skills in English
Education and Experience
- Required Education: Bachelor’s degree in Engineering or Business
Administration or any related �ield
- Years of Relevant Experience: 3+
