Background
iMMAP Inc. in Iraq program supports national authorities, international and local non-government organizations to enhance their information management capabilities through a comprehensive approach of tailored capacity strengthening, development of IM procedures and standards, as well as development of IM tools. The support provided by iMMAP Inc. enables evidence-based decision-making to better plan, prioritize and deliver services to those in need. Logistics officer under the supervision of Logistics and Security coordinator ensures efficient logistics and supply chain support for iMMAP, covering procurement, fleet, assets, inventory, and facilities in line with policies and donor rules. It involves coordinating with service providers, maintaining records, supporting field operations, and assisting with events. The position also contributes to compliance, reporting, and team support, helping enable smooth and effective program delivery.
Description of Duties
1. Procurement and Supply Chain Management
- Support the end-to-end procurement process, including market research, request for quotations, tender evaluations, and contract management.
- Ensure all procurement is conducted in compliance with iMMAP’s procurement policies and donor regulations.
- Maintain and update the procurement tracking tool regularly.
- Prepare and maintain procurement documentation and ensure proper filing (physical and digital).
2. Fleet Management
- Coordinate vehicle rental requests from departments and field teams, ensuring timely arrangement of transportation services (monthly, weekly, or daily) with approved service providers.
- Maintain and update the vehicle request and booking tracker, ensuring efficient use of transportation resources.
- Liaise with third-party service providers to confirm vehicle availability, driver assignment, and required documentation.
- Monitor service delivery by vehicle providers, including driver conduct, vehicle condition, and punctuality.
- Ensure all vehicle-related service issues (delays, breakdowns, or accidents) are reported and resolved with the provider in a timely manner
- Collect and review service providers’ invoices against vehicle use records and SPO prior to submission to Finance for payment.
3. Asset and Inventory Management
- Maintain and regularly update the asset register, ensuring all assets are properly tagged and recorded.
- Issue IT equipment and peripherals (e.g., laptops, monitors, mobile phones) to newly hired staff, ensuring proper documentation through the Equipment Receipt Form.
- Collect assigned equipment from departing staff during clearance, verifying the return condition and updating the asset register accordingly.
- Coordinate with HR and IT teams to ensure timely asset issuance and retrieval as part of onboarding and offboarding procedures.
- Conduct periodic physical inventory checks and reconcile findings with the asset register.
- Report lost, damaged, or non-functional items and assist in repair, replacement, or disposal procedures in coordination with the Logistics Coordinator.
- Ensure all assets are stored and maintained in a secure and organized manner when not in use.
4. Premises and Facility Support
- Support the coordination of office and guesthouse maintenance, repairs, and utilities (electricity, internet, water).
- Liaise with landlords, service providers, and maintenance contractors as needed.
- Assist in organizing workspace rearrangements and furnishing needs.
- Ensure security measures are in place, including regular check-up (external lights, CCTV, door and gate locks, smoke detectors, protection)
5. Logistics Support to Program Operations
- Coordinate the delivery and dispatch of materials to/from field locations.
- Assist in organizing trainings, workshops, and field visits by providing logistical arrangements (venue, supplies, transport, etc.).
- Liaise with the Support Services Officer from Baghdad office in order to organize trainings and workshops.
- Ensure availability of logistical support to emergency or surge operations when needed.
6. Compliance and Reporting
- Ensure all logistical transactions are documented and filed according to iMMAP’s procedures.
- Contribute to regular logistics reporting (procurement, assets, fleet) and audits.
- Report any potential or confirmed non-compliance to the Logistics Coordinator.
7. Other
- Act as a backup for other logistics staff during absences or peak workload.
- Perform any other duties as assigned by the Logistics Coordinator.
- Proactively induct new arrivals, newly recruited local staff about logistics.
Requirements
Education and Qualifications
· Bachelor’s degree in Business Administration, Engineering, or a related field.
· Good understanding of procurement procedures and fleet/asset management.
· Proficiency in Microsoft Office, especially Excel.
· Strong organizational and problem-solving skills.
Experience
· At least 2–4 years of experience in logistics or supply chain in a humanitarian or development organization.
Soft skills
· Attention to detail and a high level of integrity.
· Strong communication and interpersonal skills.
· Flexible and ability to adapt to different cultural contexts
· Ability to work under pressure and meet deadlines.
· Fluent (speaking, reading and writing) in English and Kurdish language.
· Good working knowledge of Arabic would be a strong advantage.
