Position Summary
AUIB is seeking a dynamic and experienced Administrative Assistant to drive its mission of ensuring efficient office operations and provide support to the Dean, faculty, and staff. Key Responsibilities
- Areas of Accountabilities: Manage daily office operations for the College of Business.
- Schedule and coordinate meetings, appointments, and events for the Dean and faculty.
- Administrative Support: - Maintain office supplies and equipment.
- Draft, format, and distribute internal communications, reports, and memos.
- Serve as a point of contact for inquiries from students, faculty, and external visitors.
- Communication
- Maintain effective communication with other departments and college offices.
- Record Management - Organize and maintain digital and physical files, records, and databases.
- Assist in collecting and preparing documentation for reports and audits.
- Academic Support - Assist faculty with class scheduling, course documentation, and exam coordination.
- Support students with academic forms, referrals, and general inquiries.
- Event Coordination - Support planning and execution of college events, guest lectures, and student activities.
Ideal Candidate Profile
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Attention to detail and problem-solving skills
- Ability to work independently and as part of a team
Education and Experience
- Bachelor’s degree in Business Administration, Office Management, or a related field is required.
(An equivalent combination of education and relevant experience may be considered.)
At least 2 years of relevant administrative or office experience, preferably in an academic or professional office environment.
- Familiarity with academic environments and student-centered service is preferred
