Position Summary:
AUIB is seeking a dynamic and experienced Senior Administrative Assistant to support its mission of advancing excellence in higher education and fostering a world-class academic environment. In this pivotal role, the Senior Administrative Assistant will provide high-level administrative and operational support, coordinate complex schedules and communications, streamline office processes, and serve as a key liaison between leadership, faculty, staff, and external stakeholders. Key Responsibilities:
- Provide direct administrative support to the dean.
- Schedule and coordinate meetings, interviews, and official events related to academic operations.
- Draft, review, and organize official correspondence, reports, and memos.
- Prepare meeting agendas, take minutes, and follow up on assigned action items.
- Maintain accurate filing systems for academic documents and records (digital and physical).
- Support the preparation of academic reports, policy documents, and data summaries.
- Handle confidential information with discretion and maintain professional communication.
- Facilitate students’ communications with faculty advisors, chairpersons, other departments and the dean of COE.
Ideal Candidate Profile:
- Strong organizational, communication, and time-management skills with high attention to detail.
- Proficiency in Microsoft Office and digital collaboration tools for scheduling, reporting, and documentation.
- Solid understanding of academic operations, policies, and higher education procedures.
- Ability to handle confidential information with discretion and professionalism.
- Skilled in meeting coordination, correspondence drafting, and record management
Education and Experience:
- Required Education: Bachelor’s degree required, engineering is preferred
- Years of Relevant Experience: 3 Years
